DIRECTOR OF FINANCE & ADMINISTRATION
Location: You are based in either Pennsylvania or New Jersey (required). Travel is typically required for several days every quarter but you’ll generally work from your home office otherwise.

Reports to: Executive Director and collaborates closely with colleagues.
Managerial Duties:
Manage vendors and functional areas as described further below.
Following the first 12 months, you may have direct supervisory responsibility for up to 3 staff.

Your employer will be the Keystone Energy Efficiency Alliance (KEEA), which includes state-focused trade groups for both Pennsylvania (KEEA) and New Jersey (EEA-NJ). With 70+ business members across the two states, the organization focuses on strategies and policy priorities to support energy efficiency programs, financing and workforce development.
Through a staff sharing agreement, you will perform work for KEEA and also for our sister organization, the Energy Efficiency Alliance (EEA), a 501(c)3 non-profit that educates key stakeholders about energy efficiency. Together, the EEA family of organizations engages businesses in the EE industry to champion the economic growth and jobs impact of EE, its climate impact, and opportunities for EE to play a key role in advancing a clean energy economy.
Job Duties:
The Director of Finance & Administration works closely with the Executive Director and directly manages these functions:
Financials – Directly manages all accounting, audit and related activities and associated vendors.
This position oversees preparation of monthly financial reports and develops regular presentations to the Boards, conducts analysis, and leads on budget development and management. This includes review and processing of accounts payable and receivable and issuing and monitoring payment on all Membership and Sponsorship invoices.
Promptly resolves all outstanding accounting questions, manages quarterly intra-organizational reconciliation memo and supporting financials.
In concert with Director of Development, regularly tracks, monitors and reviews grant spending and assists Director of Development with any needed financial reports for DoD to prepare final grant reports.
This position directly supports the Finance Committees of KEEA/EEA-NJ and EEA boards by drafting notes and committee’s Board reports and scheduling meetings.
This position directly manages investment strategy for the organization in collaboration with the Executive Director and the Finance Committee.
This position leads on Annual Budget preparation in concert with Executive Director and manages assignments to functional budget preparation by team members.
This position organizes and leads work necessary to hire and manage a 3rd party auditor and to fulfill requests from them to execute timely audit completion and timely Form 990 submission.
Supports Executive Director with Performance Metrics & Board Operations
Maintains various required Board records for terms and Board profiles, and assists Executive Director as needed for Board meeting preparation.
Oversees staff production of monthly KPI report for Executive Director and Board.
Supports ED in monitoring staff meeting tasks, scores and goals progress.
Human Resources & Benefits Administration
Position oversees all Benefits Administration – payroll administration and software (Gusto) management, 401k, health and other employee benefits including all employee and organization insurances: Parental Leave and Disability (NY, NJ – plus PA), Short-Term Disability, Long-Term Disability, Directors & Officers, General Liability, etc.
Position oversees all Human Resources functions – managing and interacting with outside vendor for HR consulting, ensuring compliance with state benefits, etc. This includes drafting any needed Work Improvement Plans or other HR actions, should the need arise, overseeing on-boarding of new staff/orientation process, and exit or termination of staff and supporting hiring processes (job descriptions, posting jobs, scheduling interviews, etc.).
Position organizes staff birthday and other recognition opportunities, and establishes training opportunities in consultation with ED.
Information Technology Needs & Vendor
This position teams with and manages the relationship with the information technology support vendor, managing tech devices inventory, schedule for upgrades, and associated budget.
This position will oversee in 2025 or 2026 an organizational transition to Microsoft Outlook from Google services.
This position oversees development of a common organization-wide contact database and associated team procedures for ensuring regular updating and optimal operations synergy.
Qualifications:
At least five years of relevant professional working experience is REQUIRED. Preference given to candidates with greater experience.
Education: High School degree required; Ideally candidate has completed some college-level coursework in accounting, finance, management, or other related fields, but candidates with directly applicable professional experience will be given equal consideration.
Strongly preferred:
Past work with nonprofit accounting and interacting with a Board of Directors.
Prior experience managing vendor relationships in at least one of the relevant job duty areas is preferred.

Job candidate should have appropriate home office. KEEA will provide a limited stipend toward initial set-up and all needed equipment.

Compensation: Competitive salary based on experience, ranging from $78-$85K annually. Benefits package includes health insurance (80% coverage for employee and 50% for employee spouse/ dependents), parental leave, 401k with 3% match, basic flextime, paid holidays, summer ½ day Fridays, professional development support, and 3 weeks paid vacation after completing 3-month probationary period.
